CMAC CHAIR RESPONSIBILITIES
- Preside over the monthly Executive Committee meetings and CMAC meetings
- Provide leadership, guidance and support to the officers and committee chairs/members, facilitating collaboration and achievement of stretch goals
- Serve as the official representative of CMAC, encouraging inter-agency cooperation and inclusive participation
- Appoint Committee Chairs, ad hoc committees/task forces as required
- Serve as an ex-officio member of the Executive Committee for the first year out of office
VICE CHAIR RESPONSIBILITIES
- Remind the Spotlight Speakers and Refreshment volunteers about a week in advance when they are scheduled for the next meeting
- Put together the Agenda and print copies for each table - agenda will include a short bio as well as contact information for the speaker
- Check with the Education Committee about two weeks in advance of each meeting to ensure that the Main Speaker is confirmed
SECRETARY RESPONSIBILITIES
- Keep attendance at each meeting, and keep track of guest attendance. Limited to 2 meetings as a guest, then asked to join.
- Send minutes to all attendees within a week of the meeting.
- Keep binder with all Agendas, attendance, handouts from exec and membership meetings
- Keep database of existing members, and send out to membership 3 times during the year
- Upload minutes of each meeting to website – email webmaster the minutes, and any new members once a month, within a week of the meeting
TREASURER RESPONSIBILITIES
- Generate budget with forecast and present to membership in September
- Keep track of all incoming and outgoing expenses, and report balance to members at the beginning of each meeting.
- Reimburses CMAC APPROVED expenses. Member must submit a receipt before funds are paid.
- Deposit of new member check within a week of receiving, and send the application to membership committee within one week.
MEMBERSHIP COMMITTEE RESPONSIBILITIES
- Receive Applications from Treasurer and updates Membership Directory
- Keep track of all members who paid early to be included in the early bird drawing
- Choose Restaurant for $50 Gift Certificate for early bird drawing (bring gift card to Sept meeting)
- Make sure all paid members get a copy of the directory for current year (if paid by due date)
- Bring blank applications for people to take with them before or after the meeting
- Communicate with Secretary the names and email addresses of all current members to add to her database for meeting minutes
- Meet with membership committee co-chairs to set goals for the year and discuss how to achieve those goals to increase membership
- Meet with membership committee members to divide up responsibilities to achieve goals for the year
- Greet members and guests as the come in to meeting.
PR COMMITTEE RESPONSIBILITIES
- Establish and share CMAC’s ‘Public Voice’ on issues impacting seniors.
- Educate seniors, the senior industry and the greater community about the mission and ongoing efforts of CMAC.
- Develop comprehensive media list and annual PR Work Plan.
- Identify, develop and / or re-engage Community Partnerships
(i.e. COA, Alz, Hospice, Friendship Trays, Senior Games, AARP, UNCC, Queens, etc.)
- Print finalized Speaker List year to be inserted in pocket folders.
- Review (possibly help update) and utilize website in communication efforts
- List monthly speaker summary and promote upcoming info / speakers
- Develop hot links with active community partnerships
SPECIAL PROJECTS RESPONSIBILITIES
- Inform membership at each meeting that the grant is available, and the deadline is December. It can be used for a CMAC member, in collaboration with more than one organization, for a new idea that will benefit seniors and/or the senior community. Applications must be in before the December meeting. Inform members if a grant was given.
- To coordinate the yearly special project. 2008-2009 will be “In collaboration with Council on Aging to reach 500 homebound seniors with Emergency Starter Kits with distribution in May 2009.” Members and volunteers must prepare and distribute. Sub Committees will be formed to assist in the time and size of the workload. We will implement a way in which to follow up with the recipients (return postcard).
EDUCATION COMMITTEE RESPONSIBILITIES
- To educate members and guests on a variety of topics related to seniors and the seniors industry.
- Provide speaker calendar to Vice Chair with updates
- Provide bio and contact information to Vice Chair at the prior month’s executive meeting to include on backside of agenda.
ADVOCACY RESPONSIBILITIES
- Keep CMAC members knowledgeable about current topics relating to our seniors in Mecklenburg county and what we as a community can do to help advocate for our seniors.
- Give out contact information or website for what you can do to help the cause/issue discussed, or how to get involved.
HISTORIAN RESPONSIBILITIES
- Maintain the history of C-MAC by documenting the highlights of each year, especially programs, advocacy, or events or decisions that reflect carrying out the organization’s mission and its involvement in the community
- Cooperate with the Chair, the board, and especially the website manager in collecting pertinent information.
- Attend monthly board and general meetings.
- Collect pertinent documents, photos, information throughout the year.
- Write narratives as needed throughout the year, or at year’s end, to capsulate that year.
- Maintain the collected history of the year along with the past years’ collection.
- Produce a printed copy for the annual meeting in June.
SPECIAL AWARDS COMMITTEE RESPONSIBILITIES
- Seek nominations, reviews the nominations and presents the Evelyn Berger Educator/Advocator of the Year Award at the June meeting.
- Recognize key individuals who have been an example of leadership in the field of aging in Mecklenburg County.
